Job Summary
The Office Manager is responsible for coordination and supervision of all office functions. This includes providing a professional ministry and office atmosphere to guests both on the phone and in person. This position is a key liaison between the Converge North Central (CNC) office, churches and camps in our district, as well as Converge Worldwide (CWW). The Office Manager also assists in special projects with CNC staff.
The Office Manager reports to, and is directly accountable to the District Executive Minister.

Responsibilities and Duties
• Provide a warm and welcoming environment for guests and visitors
• Answer phones and provide administrative support for CNC staff
• Process incoming and outgoing mail and email
• Monitor CNC Benefit Plan
• Manage and oversee all electronic communications (website, email, mail chimp etc.)
• Manage CNC staff and facility calendar
• Provide P3 registration and subscription administration
• Process and maintain file storage system for account payables/receivables in coordination with CWW

• Deliver financial and other important documentation and information to CWW
• Take and distribute staff meeting minutes
• Track, manage, update CNC pastor/church database and information as well as communicating pertinent changes to CWW
• Maintain weekly pastor/church prayer request list for staff prayer to be distributed to CNC, Trout Lake Camps, and Pine Lake Camps

• Collect, organize, code, and submit credit card expenses for District Executive Minister
• Process staff credit cards, expense reports, and reimbursement for CNC staff
• Manage UNUM Death Benefits Plan
• Generate Trout Lake Camps financial reports
• Generate and mail receipt letters
• Take Minutes at CNC Board and Executive Committee meetings

• Manage housing allowances for CNC Staff (each October)
• Manage and communicate the addition/subtraction of CNC staff regarding health insurance and retirement benefits
• Manage and serve as contact person for annual CNC audit by outside firm

As Needed
• Manage and stock office supplies
• Manage PayPal income
• Prepare and send welcome packets for new pastors
• Technology liaison with IT Provider
• Administrative support for CNC staff, CNC projects, and other events and items
• Create CNC invoices as needed
• Familiarize, organize and keep current all government and legal documents (i.e. I-9, W-9, ST3, contracts, etc.)

Qualifications and Requirements
• Strong verbal and written communication skills
• Detail oriented and precise in their work practices
• Working knowledge of general financial and accounting practices
• Experience with computers and working knowledge of data processing and database software
• Willingness to learn new skills
• The ability to think on their feet, handling multiple tasks and projects simultaneously
• The ability to maintain an orderly work environment
• Able to be self-directed and motivated in accomplishing tasks
